Party Rental Sizing: How Many Tables, Chairs, and Linens You Actually Need

The math behind a rental order, so you stop guessing and stop over-ordering.

Rental orders go wrong in two directions. Under-order and you are borrowing chairs from a neighbor an hour before doors. Over-order and you have paid to deliver, store, and return furniture nobody sat in. Here is how we size an order at UniQ51 Party Rentals.

Start with the table, not the chair

Table shape sets everything downstream:

  • 60-inch round — seats 8 comfortably, 10 tight. The default for weddings and galas.
  • 72-inch round — seats 10 comfortably, 12 tight. Better for large centerpieces.
  • 6-foot banquet — seats 6 to 8. Best for buffets, gifts, and long family-style runs.
  • Cocktail tables — one per 8 to 10 standing guests during a reception hour.

Chairs: guest count plus a margin

Order your confirmed count plus roughly 5 percent. For ceremony-then-reception events where the same chairs are flipped, confirm you have staff or time budgeted for the flip — otherwise you need two sets.

Linens: the drop is the whole decision

Linen size is table diameter plus twice the drop you want.

  • A 60-inch round with a 120-inch cloth gives a full floor-length drop.
  • A 60-inch round with a 90-inch cloth gives a short lap-length drop — casual, and it shows the table legs.
  • A 72-inch round needs a 132-inch cloth for floor length.

If your tables are anything less than beautiful, go floor length. It is the single cheapest upgrade in the whole order.

Bars and service

Plan roughly one bartender per 75 guests for beer and wine, and one per 50 if you are serving cocktails. A luxury mobile bar solves placement problems in backyards and venues without a fixed bar, and it moves the queue away from the dance floor.

Tents: the footprint math

For seated dining, budget about 12 to 15 square feet per guest. For a standing cocktail reception, 8 to 10. Add the footprint of the bar, the buffet, the DJ, and the dance floor on top — those are not free.

Delivery windows are part of the order

Confirm delivery, setup, and pickup windows in writing, and confirm what the venue allows. Many Nassau County venues have hard load-in hours. Check park and facility rules through Nassau County Parks, Recreation & Museums if you are using public space.
