Where the Money Actually Goes: An Event Budget Breakdown

A realistic allocation model, plus the four line items people forget until the invoice arrives.

The most common planning mistake is not overspending. It is allocating in the wrong proportions, then discovering the gap eight weeks out when there is no room to move. Here is a working model.

A realistic allocation

For a full-service social event, allocations typically land near:

  • Venue and catering: 40 to 50 percent. Food, beverage, service staff, and site fees. This is the immovable core.
  • Rentals and décor: 15 to 20 percent. Tables, chairs, linens, tenting, lighting, florals.
  • Entertainment and AV: 10 to 15 percent. Band or DJ, sound, staging.
  • Photography and video: 10 to 12 percent. Including a photo booth if you want one.
  • Planning and coordination: 8 to 12 percent.
  • Contingency: 5 to 10 percent. Not optional. This is the line that saves the event.

The four line items people forget

  1. Service charge and gratuity. Frequently 20 to 25 percent on catering, and it is calculated on the total, not the food subtotal. On a large catering bill this is often the single largest surprise.
  2. Delivery, setup, and strike. Rental pricing and rental logistics are different numbers. Ask for both.
  3. Overtime. Vendor contracts end at a stated hour. The band playing one more set has a price, and it is set in advance, not negotiated at 11pm.
  4. Cleanup and damage deposits. Venues withhold deposits for exactly the reasons you would expect. Budget for professional cleanup and you usually get the deposit back.

Where to spend, where to save

Spend on the things every guest touches for hours: seating comfort, food, sound quality, and lighting. Save on things seen once and photographed rarely — elaborate escort displays, favors, and printed materials that end up in the recycling.

Get it in writing, line by line
