Planning a School Fundraiser or Charity Gala in Nassau County

Community events run on volunteers and tight budgets. Here is how to protect both.

Fundraisers, proms, church events, and street fairs are the events we most enjoy producing, and the ones most often run by people doing it on top of a full-time job. Here is how to keep the load manageable.

Set the net goal, then work backwards

Gross ticket revenue is a vanity number. Decide the net you need to raise, then cap expenses at a percentage of the target. If a gala needs to net $40,000, an expense ceiling around 30 percent gives you a real budget to design against.

Volunteers need roles, not tasks

A list of tasks produces confusion; a list of owned roles produces an event. Assign a single named owner for check-in, silent auction, catering liaison, AV, and cleanup. Each owner gets a written scope and a phone number for the person above them.

Sponsorship is a product, not a favor

Build tiers with concrete deliverables: logo placement, table seating, stage mention, and branded photo booth overlays. Local businesses say yes to defined value far more often than to open-ended asks.

Venue: check the public options first

School gyms, houses of worship, community centers, and county park facilities are often the best value in the county. Availability and permitting for public facilities run through Nassau County Parks, Recreation & Museums, and your local town office — the Town of Hempstead, the Town of North Hempstead, or the Town of Oyster Bay.

Food service and permits

If food is being served or sold, temporary food service permitting is handled through the Nassau County Department of Health. Start that conversation early — it is the item most likely to be discovered late.

Make the ask easy and make it twice

Have a card reader at every station and a QR code on every table. Make a direct ask from the stage at the emotional peak of the night, and a second one at the door on the way out.

Plan the teardown before the setup
